Privacy Policy for the Museum’s Website

1. Basic Policy

The Museum of the Imperial Collections, Sannomaru Shozokan (hereafter “the Museum”) collects information from visitors to its website (hereafter “the Website”) to the extent necessary to offer services through the Website (providing information, program registration, etc.). Information collected by the Museum is handled appropriately and used solely for the purposes outlined in Section 4 “Purposes of Use.”

2. Legal Compliance

Personal information collected or acquired by the Museum is managed in accordance with all relevant legislation as well as the provisions stipulated in the Regulation for Managing Personal Information Held by the National Institutes for Cultural Heritage and its accompanying Rules for Handling Personal Information Held by the National Institutes for Cultural Heritage.

3. Scope of Information Collected

The Website does not collect users' names, dates of birth, or other personally identifiable information, with the exception of the following items.

  1. Internet domain names, IP addresses, and other details related to viewing the Website are automatically collected. This information is not used in conjunction with identifying data unless required to do so by law or to protect the rights of the Museum or other users.
  2. When registering for museum talks and other events promoted on the Website, users may be asked to fill in their email address, name, mailing address, school name, telephone number, or other details required for registration. The collection of this information may be subject to separate privacy policies stipulated for individual events.

4. Purposes of Use

  1. Information collected via the Website is used for web analytics and to ensure smooth operation of services. Such data may also be used in other operations conducted by the National Institutes for Cultural Heritage (NICH) pursuant to the Act on the Independent Administrative Agency the National Institutes for Cultural Heritage and the NICH Statement of Operational Procedures.
  2. Information collected under Section 3, Item 2 is used to implement the corresponding program.
  3. Google Analytics is used on the Website to understand how visitors engage with the site.
    Cookies may also be used to store text size settings so that the same settings can be applied on subsequent visits.
    Google Analytics uses cookies to collect information from website visitors. Data collected through Google Analytics is managed pursuant to Google’s Privacy Policy. Such data does not include information that can identify individual visitors and is used only for the purposes specified above. Please be aware that you may be able to block cookies in your browser settings.

5. Restrictions on Use and Disclosure

The Museum will not use the information it collects for purposes other than those specified in Section 4 “Purposes of Use” or disclose it to third parties unless required to do so by law; in cases of unauthorized access, extortion, or other unlawful acts; or when other special circumstances exist. This restriction does not apply to website access information that has been converted into anonymous statistical data that does not allow for the identification of individual users. Such anonymous data may be disclosed publicly, shared internally, or provided to relevant government bodies.

6. Security Measures

The Museum will take all necessary measures to ensure data is managed properly and to prevent unauthorized disclosure, loss, or corruption of the information collected.

7. Applicable Scope

This privacy policy only applies to the Website (https://shozokan.nich.go.jp/). Other websites have their own respective policies for managing user information.
